Accounting Software Without a Subscription
Free forever beats a monthly fee
If the goal is no monthly subscription, free forever plans are the most practical answer in 2026. Wave still leads: unlimited invoicing, bank feeds, and AI receipt scanning at $0, with revenue coming only from optional payment processing. Zoho Books has a genuinely free tier for small businesses covering invoicing, expenses, and basic reporting — check current plan limits on the vendor site, because caps change.
Both cover the core loop — send an invoice, match the payment, run a profit-and-loss — without a recurring bill. That is enough for many freelancers, micro-businesses, and very small teams, and neither locks you in: your data exports cleanly if you outgrow them.
One-time licenses for the offline crowd
If you would rather own the software outright than rent it, a handful of one-time licenses still exist. TallyPrime from Tally Solutions is the best known: a perpetual license that works fully offline with GST-ready invoicing and inventory. Manager.io offers a genuinely free desktop edition plus a paid one-time license for advanced features. We cover the full one-time market separately in our one-time purchase guide — check current pricing there, since perpetual licenses are priced per copy and change less often than subscriptions.
These fit stable, low-connectivity workflows: offline trades, retailers, and practices. They are a worse fit if you need mobile apps, real-time bank feeds, or AI features — those are subscription-era capabilities that one-time software rarely has.
What you give up without a subscription
The trade-off is real. No-subscription tools generally cap users, invoice volume, or reporting depth. The AI extras — forecasting, anomaly detection, automated receipt coding — sit almost entirely in paid tiers.
You also carry updates and compliance yourself. Tax rules change (GST e-invoicing, VAT reforms), and free or one-time software can lag paid tools on new requirements. Support is thinner, and vendor priorities shift — a free tier can quietly lose features, so export your books regularly.
The sensible path
Start free on Wave or Zoho Books, automate your routine, and upgrade only when a specific pain appears — invoice volume, accountant needs, or a compliance requirement. Upgrade for a feature, never for the label.
Keep a no-subscription exit in mind: because both Wave and Zoho export your books, you can move to a paid tool later without being held hostage by a monthly fee.
